Privacy Policy

We collect information you give us when you:

• Place an order: name, email, phone number, billing and delivery address, delivery access details and your order.
• Request a quote, contact us, request a call back or book a showroom visit or consultation: your contact details, message and any photos you attach.
• Create a My Penwood account: your email, name, phone, saved addresses and wishlist. If you sign in with Google, we receive your name and email from Google.
• Use Design Your Set or the Room Visualizer: your email and any room photo you upload to generate a preview.
• Apply to our Designer Program: your business and contact details.

We also collect limited technical information automatically, such as pages visited, device and browser type, and approximate location, through cookies and similar technologies (see below). Your cart and wishlist are stored in your browser until you sign in.

• To process payment, build, deliver and support your order, including warranty service.
• To respond to quotes, enquiries and bookings, and to send order and appointment emails.
• To provide your account, order history and wishlist.
• To understand how our website is used and improve it.
• To prevent fraud and meet our legal and accounting obligations.

We do not sell or rent your personal information. We share it only with service providers who help us run our business, and only as needed for that purpose:

• Payment processing (Clover) and financing (Affirm, if you choose it).
• Our online store and order management systems.
• Account sign-in and secure data hosting (Supabase, and Google if you use Google sign-in).
• Email delivery for order, quote and appointment messages.
• AI image generation (Google) for previews you request in our visualizer tools.
• Website analytics (Google Analytics and Microsoft Clarity).

Some of these providers may store or process information outside Canada. We may also disclose information where required by law.

We use cookies and browser storage to keep you signed in, remember your cart and wishlist, and measure how the site is used. Analytics providers may set their own cookies. You can block or delete cookies in your browser settings, though parts of the site, such as sign-in and checkout, may not work without them.

We protect your information with encryption in transit and access controls on the systems that hold it. Card details are entered into our payment processor's secure fields and never reach our servers. We keep order records for as long as needed to support your furniture and its warranty and to meet legal and tax requirements, and other information only as long as it is needed.

You can ask to access, correct or delete the personal information we hold about you, or withdraw consent to optional uses such as marketing emails, at any time, subject to legal and contractual limits. You can update your account details in My Penwood.
